Rasberry Chess Academy respects your privacy and is dedicated to protecting the personal information of our students and their parents or legal guardians ("Parents"). This Privacy Policy describes how we collect, use, share, and safeguard your information when you register for our in-person or online Chess Programs or use our payment processing links.

1. Information We Collect

To process enrollments, manage class rosters, and maintain required communications under our Terms of Service, we collect the following information:

  • Parent/Guardian Information: Full names, cell phone numbers, primary email addresses, and billing details.

  • Student Information: Student's full name, grade level, and host school/location enrollment details.

  • Payment Information: Payment card numbers, expiration dates, and billing zip codes. (Note: All credit/debit card details are collected and processed directly by our secure payment providers, Squarespace Payments and Stripe. RCA does not store full credit card numbers on its servers).

  • Media Capture: Photos, videos, or audio recordings captured during in-person classes (unless and until an opt-out or exemption request is submitted).

2. Children’s Privacy & Parental Consent

Our programs are intended for enrollment by adults (parents or legal guardians). We do not knowingly collect personal information directly from children under 13 without verifiable parental consent provided by a parent or guardian during the registration process.

3. How We Collect Information

We collect information directly from Parents when they:

  • Complete an online registration form or payment checkout link.

  • Submit written notices regarding cancellations or account changes.

  • Communicate with RCA via email, phone, or text message.

4. How We Use Your Information

We use collected information solely for business and operational purposes, including:

  • Processing registration fees, monthly tuition, late fees, and late pick-up charges.

  • Contacting Parents regarding class schedules, emergency notifications, billing updates, or host location closures.

  • Sending marketing communications and promotional emails regarding upcoming tournaments, events, and other classes until a Parent chooses to opt out in writing.

  • Managing class capacity and waitlists.

  • Utilizing student images/names in RCA promotional materials (unless and until an opt-out or exemption request is submitted).

  • Complying with accounting, tax, and legal requirements under the laws of the State of Alabama.

5. How We Disclose and Share Your Information

We do not sell, rent, trade, or share your and your children’s personal contact information with third parties for marketing purposes. We only share data with trusted parties in the following specific circumstances:

  • Service Providers: We share payment details with Squarespace Payments and Stripe to securely handle subscriptions, fees, and transactions compliant with PCI-DSS standards.

  • Host School/Facility Administration: We share basic student and parent details (e.g., student name, grade, parent contact number) with host schools, churches, or facilities for dismissal coordination, security, and rule enforcement.

  • Legal Compliance: We may disclose information if required by law, court order, or to enforce our Terms of Service in Montgomery County, Alabama.

6. Data Security Practices

RCA takes reasonable administrative and technical precautions to safeguard personal information. All online checkout processes are encrypted via standard SSL security through Stripe. Access to parent contact details is strictly limited to authorized RCA instructors and management.

7. Retention & Parent Responsibilities

Parents are required under our Terms of Service to maintain updated email addresses and cell phone numbers on file with RCA for the duration of enrollment. We retain customer transaction records as necessary to satisfy accounting standards and program commitments through the end of the academic year.

Parental Rights (Access & Deletion): Parents and legal guardians have the right to review, update, or request the deletion of their child's or their own personal contact information from our roster and communications systems at any time. To exercise these rights, please send RCA a written request. Please note that requests for deletion are subject to necessary administrative retention rules required for tax, accounting, or active program management purposes.

8. Marketing Communications & Opt-Out

By providing an email address during registration, Parents agree to receive communications regarding RCA programs, upcoming chess tournaments, and special events. Parents may opt out of receiving marketing emails at any time by clicking the "Unsubscribe" link at the bottom of any promotional email or by contacting RCA directly in writing. (Please note that opting out of promotional emails will not stop essential transactional or operational communications regarding an active student's billing or class schedule).
